This Refund Policy explains the terms and conditions for refunds on XrayBid subscriptions and services.

1. Free Tier

The free tier of XrayBid (3 analyses per month) is provided at no cost. As no payment is made, no refunds apply.

2. Our Refund Guarantee

2.1 Usage-Based Refund Policy

We offer a fair usage refund guarantee:

If you have used 3 or fewer analyses in your current billing period, you are eligible for a full refund.

This means:

  • You can try the paid features with confidence
  • If the Service doesn't meet your needs, request a refund before exceeding 3 uses
  • No questions asked—just contact us

2.2 Why 3 Analyses?

Three analyses matches our free tier allowance. This gives you enough usage to properly evaluate the Service while ensuring fair use of our refund policy.

3. Refund Eligibility

3.1 Eligible for Full Refund

  • Usage ≤ 3 analyses in the current billing period
  • Technical issues preventing Service use that we cannot resolve
  • Billing errors or duplicate charges

3.2 Eligible for Partial Refund (at our discretion)

  • Annual subscriptions cancelled within 30 days with moderate usage
  • Service outages affecting your ability to use the product

3.3 Not Eligible for Refund

  • Usage > 3 analyses in the current billing period
  • Failure to cancel before automatic renewal (after extensive use)
  • Dissatisfaction with AI accuracy after significant use (results may vary; you are responsible for verification)
  • Violation of Terms of Service leading to account termination

4. Subscription Types

4.1 Monthly Subscriptions

  • Full refund available if usage ≤ 3 analyses
  • No prorated refunds after exceeding 3 analyses
  • Cancel anytime; access continues until period ends

4.2 Annual Subscriptions

  • Full refund available if usage ≤ 3 analyses (regardless of time elapsed)
  • Prorated refunds may be considered within first 30 days for moderate usage
  • After 30 days with significant usage, no refunds available
  • Cancel anytime; access continues until annual term ends

5. How to Request a Refund

To request a refund:

  1. Email us at support@xraybid.com
  2. Include:
    • Your account email address
    • Date of purchase
    • Reason for refund request (optional but helpful)
    • Transaction ID (if available)
  3. Response time: We aim to respond within 2 business days

Tip: You can check your usage count in your account dashboard before requesting a refund.

6. Refund Processing

6.1 Approved Refunds

  • Refunds are processed through our payment provider (Paddle)
  • Funds are returned to your original payment method
  • Processing time: 5-10 business days depending on your bank
  • Account access is terminated upon refund approval

6.2 What Happens to Your Account

Upon refund:

  • Paid subscription is cancelled immediately
  • Your account reverts to the free tier
  • You retain access to free tier features (3 analyses/month)

7. Cancellation vs. Refund

Cancellation and Refund are different:

How to Cancel

You can cancel your subscription at any time:

Cancellation stops future charges but does not automatically trigger a refund.

8. Automatic Renewal

Subscriptions renew automatically unless cancelled before the renewal date.

We will send you a reminder email 7 days before renewal.

You are responsible for:

  • Monitoring your subscription status
  • Cancelling before renewal if you do not wish to continue

Note: If you have exceeded 3 analyses before renewal, refunds for the renewed period are not available. Please cancel before the renewal date if you do not wish to continue.

9. Chargebacks

If you dispute a charge with your bank or credit card company without first contacting us:

  • This may result in immediate account suspension
  • We reserve the right to contest the chargeback
  • Please contact us first—we're happy to resolve billing issues directly

10. Special Circumstances

We understand that unexpected situations arise. If you have a special circumstance not covered by this policy, please contact us. We review requests on a case-by-case basis and aim to be fair.

Examples where we may make exceptions:

  • Medical emergencies
  • Significant service disruptions on our end
  • Billing issues caused by our systems

11. Changes to This Policy

We may update this Refund Policy at any time. Changes will be posted on this page with an updated date. Material changes affecting existing subscribers will be communicated via email.
